1. Getting started / Sign in
Open the board's web address. Cloudflare asks for your @solidrocksteel.com email and emails you a one-time code; type it in and you're on the board. Only the six board users can get in.
Assignees: Freddy, Rey, Kristine, Ferdinand, Ben, Simon
Your name (top right) comes from that sign-in; it decides your editing rights. Sign out ends the session on this browser.
Online avatars show who has the board open (updated about every 15 seconds).
The sign-in lasts for the session length Simon set in Cloudflare (default 24 hours); after that you get a new code by email.
Use Chrome or Edge. If the code email doesn't arrive within a minute, check Junk / Quarantine.

3. Tiles / cards
Each card shows Job #, Item # (I #), Unit # (U #), Trans # (Tx #) and a version chip (v1, v2…) across the top, the Description, then the assignee and on the right:
a blue RFI n chip = number of Open RFIs (answered ones aren’t counted)
a red Issues badge when Current issues that must be resolved has text
the priority (P1, P2… or On Hold; “—” = Not Assigned)
Click a tile to open it in Details. Cards you are allowed to move also show a small Move button (status picker); cards you can’t edit have no Move button and snap back if dragged.

4. Workflow
Cards move one step at a time along allowed edges (drag, the Details Status dropdown, or Move). Illegal jumps show a toast and are blocked.
On phones/tablets: swipe sideways between columns; use the card Move button (or long-press a card) to change status — HTML5 drag is unreliable on touch. The picker greys out statuses you can’t move to.
Not Started → IFA Prep → IFA
From IFA, pick one branch: BFAorBFA RANorBFA R & R (not a chain through all three)
BFA or BFA RAN → IFC Prep → IFC
BFA R & R does not go to IFC Prep — use New version (starts at Not Started; then move into IFA Prep)
One step backward along those edges is OK (e.g. IFA → IFA Prep, BFA → IFA, IFC Prep → BFA, IFC → IFC Prep)
Hold for Questions only from IFA Prep or IFC Prep, and it returns only to the prep column it came from
Moving to IFA or IFC needs Unit # and Trans # (see 5). Status changes also update priority (6) and schedule dates (15)
Allowed workflow (BFA family is a branch)
From IFA, a card goes to exactly one of the three BFA statuses
5. Unit # / Trans # gate
Both Unit # and Trans # are required before moving to IFA or IFC (drag, Status dropdown, or Move).
Empty or N/A does not count
Current issues, RFIs and notes are optional
If either field is missing, the move is blocked and you’ll see a toast: “Fill Unit # and Trans # before moving to IFA/IFC.”
6. Priority rules
Entering IFA Prep or IFC Prep (including coming back from Hold) always assigns the first free Priority # (1–15) for that assignee (or for the job when the Job # filter is on)
Entering IFA or IFC clears priority to Not Assigned
Hold for Questions → priority shows On Hold
BFA / BFA RAN / BFA R & R stay Not Assigned until IFC Prep
The Details Priority dropdown (Not Assigned, 1–15, On Hold) is Manager only. Picking a number slots the card in and renumbers the others 1…n with no gaps

7. Mine / My Priorities
Set the Priority filter to Mine to add a priorities column on the right. It lists that person’s ranked cards (P1–P15) in order, with On Hold cards at the bottom.
Whose list: the Assignee filter if one is chosen (column reads “Name’s Priorities”); otherwise the person picked in Preview as (for a detailer), or your signed-in name
As Manager with no Assignee chosen and not signed in, the column says Sign in or choose an assignee
Drag cards up/down inside the column to reorder; priorities renumber 1…n. On Hold cards stay On Hold. Dropping here never changes a card’s status
Only the Manager or that person can reorder their list
8. Create item Manager only
Click + Add new item (toolbar). This makes a draft: the Details pane opens as New item / “Add a work item”, and a “New item…” tile appears in Not Started. Drafts start at Not Started / Not Assigned, with Type, FM / Scan and Unit # blank.
Fill Assigned to, Job #, Item #, Type, PM, Description, Drafting Manager notes, etc.
The Create item button stays at the bottom of the form until you click it — assigning someone or filling fields does not create the card on its own
Create item needs a Description or Job #; otherwise you’ll see “Enter a Description or Job # before creating.”
A stuck draft that already has a Description, Job #, Item #, assignee or a status past Not Started becomes a normal card the next time the board loads, or as soon as you drag / Move it to another status
Undo removes a draft you just added
9. New version Manager only
From Details, New version creates the next version (v2, v3…) in the same family and opens it. The older version stays on the board (hide it with Latest version only).
Carries: Assigned to, Job #, Item #, Type, PM, Description
Resets: Unit # / Trans #, FM / Scan, schedule dates, Current issues, RFIs, Drafting Manager notes, Detailer notes; priority → Not Assigned; status → Not Started
Use for revise & resubmit (BFA R & R) or when you need to go back earlier than one workflow step
Also use when an item was previously IFC but, due to significant changes, needs to go through the entire approval workflow again
10. Delete Item Manager only
In Details, Delete Item sits to the right of the narrower New version button (created cards only — not drafts).
Clicking Delete asks Are you sure? with No and Yes
No (or Escape / backdrop) cancels
Yes removes the item from the board
You can Undo in this browser session
A delete log (last 500 deletes) is kept in this browser so deleted items stay off the board after reload
11. Latest version only
Toolbar toggle Latest version only hides older versions when a family has v2+ (single-version cards and drafts always show). While on, the button reads Show all versions — click it to see the full history again. Reset also turns it off.
12. Filters & summary strip
Search matches Job #, Item #, Unit #, Trans #, Description, Current issues, Drafting Manager notes, Detailer notes, RFI # and RFI description (e.g. “RFI 78”), assignee and PM
Filters: Job #, Assignee, Priority (All, Mine, Not Assigned, 1–15, On Hold), PM. With a Job # filter on, priority numbering is per job (see 6)
On narrow screens, toolbar Filters / Hide filters shows or hides the filter controls
Hide IFC / Show IFC collapses the shop-issued column
Summary counts follow your filters. ITEMS is the visible total; the other tiles are clickable — In Progress, At Approval, Approval Returns, On Hold, Shop Issued — and highlight matching cards (click again to clear)
Reset clears Search, filters, Latest version only and the summary highlight (Hide IFC stays as set)

13. Details pane
The Details pane is open by default. Toggle it with the toolbar Hide details / Show details button (remembered in this browser); Close in the pane or Escape also hides it. Click a tile to load it. Edits save when you leave a field.
Header: Description, with chips for Job #, I #, version, Tx # and current status
Top buttons:New version (narrower) and Delete ItemManager only. Detailers instead see a note saying what they can edit on this card, or that it is read only
Assignment: Assigned to, Priority and Status on one row, with a short hint for the status under Status. Status follows the same rules as drag (Hold for Questions is listed last)

14. RFIs (Requests for Information)
RFIs live in Details under Issues & notes, right below Current issues that must be resolved. Click + Add RFI to add a blank Open RFI. Each RFI has:
RFI #, Status (Open / Answered), Date sent, Date answered, Work days (automatic), Description, and × to remove it (Undo brings it back)
Entering a Date answered on an Open RFI marks it Answered. You can also change Status by hand (clearing the date does not reopen it — set Status back to Open)
Work days = Mon–Fri excluding BC statutory holidays and Boxing Day (company holiday, see 15), counting both the sent and answered days. With no Date answered yet it counts to today and shows in blue; with no Date sent it shows “—”
Open only (beside the RFIs heading) hides Answered RFIs and shows “n answered RFIs hidden”. It’s remembered in this browser for every card; click again to show all
Tiles show a blue RFI n chip for the number of Open RFIs
Search finds RFI # and RFI description. New version starts with no RFIs
The assignee (on their own card) and the Manager can add / edit / remove RFIs; everyone else sees them read-only
One open RFI: Work days count to today (blue) until Date answered is set
15. Schedule dates
Dates fill in automatically with today’s date (Vancouver time) when a card’s status changes. A date is only filled if it is empty — existing dates are never overwritten, and moving backward doesn’t clear them.
Enter IFA Prep → Start IFA prep (and the next free Priority #, see 6)
Move to IFA → End IFA prep and IFA date
Move to BFA, BFA RAN or BFA R & R → BFA date
Enter IFC Prep → Start IFC prep (and the next free Priority #)
IFC Prep → IFC → End IFC prep
Enter Hold for Questions → IFA or IFC prep (Hold) for the phase you’re in; leaving Hold → the matching (Release) date
Day counts (automatic, both start and end days included). Every day count on the board — prep working days, Days on Hold, Total, days at approval and RFI work days — skips weekends, BC statutory holidays and the Solid Rock company Boxing Day:
Working days (IFA / IFC prep) and Days on Hold: Mon–Fri excluding BC statutory holidays and Boxing Day
# of days at approval: Mon–Fri excluding BC statutory holidays and Boxing Day, from IFA date to BFA date — or to today while there’s no BFA date yet; it freezes once the BFA date is set
Total working days = IFA prep working days + IFC prep working days (so it also excludes weekends, BC statutory holidays and Boxing Day)
Holidays skipped (worked out automatically for every year) — BC statutory holidays: New Year’s Day, Family Day (3rd Mon of Feb), Good Friday, Victoria Day (Mon before May 25), Canada Day, BC Day (1st Mon of Aug), Labour Day (1st Mon of Sep), National Day for Truth and Reconciliation (Sep 30), Thanksgiving (2nd Mon of Oct), Remembrance Day (Nov 11) and Christmas Day. A holiday that lands on a Saturday or Sunday is skipped on the following Monday instead (e.g. Canada Day on a Sunday → Mon Jul 2).
Solid Rock company holiday:Boxing Day (Dec 26) is also skipped. If Dec 26 falls on a weekend — or on the Monday already taken by Christmas — the next working day off in lieu is skipped instead (e.g. 2026: Christmas Fri Dec 25, Boxing Day off Mon Dec 28; 2027: Christmas Mon Dec 27, Boxing Day Tue Dec 28). Easter Monday is not a holiday, so it counts as a working day.
Changing schedule dates by hand (click a date to open the picker) is Manager only. Detailers see the dates read-only, but their status moves still stamp dates automatically.
16. Editing rights
Simon (Drafting Manager) has full rights. Detailers (Freddy, Rey, Kristine, Ferdinand, Ben) can view the whole board, use every filter and Help, and open any card’s Details.
On cards assigned to you: move them (drag, Status dropdown, or Move) — all normal workflow rules still apply (one step, Unit # / Trans # gate, Hold rules, BFA R & R needs New version), and moves still set priority and schedule dates automatically
On your cards you can edit Unit #, Trans #, FM / Scan, Current issues, RFIs (add / edit / remove) and Detailer notes
Drag-reorder your own My Priorities; Undo / Redo works for your own changes
Manager only + Add new item / Create item, New version, Delete Item, Assigned to, the Priority dropdown, Job #, Item #, Type, PM, Description, Drafting Manager notes, manual schedule dates, and anything on other people’s (or Not Assigned) cards
Other people’s cards open read-only (“Read only — assigned to …”). Fields you can’t change are greyed out, their tiles have no Move button, and dragging one snaps back with “Only Simon or the assignee can move this card”
These rights are also checked by the server, so they can't be bypassed from the browser. Preview as (toolbar, Simon only) shows the board with a detailer's rights for checking; it is remembered in this browser and clears Undo / Redo when switched. Simon's real saves still happen as Simon.
17. Undo / Redo
Use the toolbar Undo / Redo buttons, or Ctrl/Cmd+Z and Ctrl/Cmd+Y (Shift+Z also redoes) when you’re not typing in a field. Undo covers status moves, priorities, field edits, RFIs, dates, new items / versions and deletes.
History is for this browser session only (~50 steps) and clears on refresh. It only undoes your own changes, and saves the undo to the shared board like any other edit
If someone else changed the same card after your edit, Undo stops with a message instead of overwriting their change
Switching Preview as also clears it
18. Data storage
Shared board: the cards are stored in Solid Rock Steel's Cloudflare account (a small database behind this page). You sign in with your work email and a one-time code; every change is saved straight away and everyone else sees it within about 10–15 seconds. The small chip next to Online shows Synced, Saving… or Not saved — retrying.
If two people change the same card at once, the board keeps both where it can; if you both changed the same field, the first save wins and you get a message
Editing rights are checked by the server too: detailers can only change their own cards and only the fields listed in Help → Editing rights
Details shows who saved a card last; every change is also kept in an audit log (Simon can open it at /api/audit)
Deleted items stay in the shared delete log (Simon can restore them)
Display choices (Details pane open/closed, RFI Open only, Preview as) stay in your own browser
If the footer says Local mode, the page is not connected to the shared board and edits stay in that browser only.
19. Training video
The toolbar Training button will open a video walkthrough when Simon links one. Until then it shows a short “coming soon” note — ask Simon for the link if you need it sooner.
